GSA Webmaster Job Description (5/2008)
The webmaster updates pages on the GSA website and administers tools such as the online reservations system, web calendar, photo gallery, webmail, and listservs. He or she works closely with the Director of Communication to publicize news and events on the web and promote a professional and unified GSA graphic identity. Occasionally he or she meets with GSA officers or staff to train them on the use of web tools or plan new projects.
The workload varies from 2-10 hours a week, averages around 5. Occasionally there are urgent requests that require immediate attention. Most of the work can be performed from home (or your office or lab--where ever it's convenient).

Required skills:
- Familiarity with basic principles of web publishing, security, server management, and file transfer protocols
- Expert knowledge of HTML, XHTML, and CSS, including ability to hard-code
- Experience using Dreamweaver and managing sites based on Dreamweaver templates
- Working knowledge of Javascript, PHP, XML, MySQL
- Working knowledge of open source CMS and web applications such as Drupal, WebCalendar, and Gallery2
- Working knowledge of Photoshop or image editing software
- Ability to organize and prioritize multiple tasks
- Excellent attention to detail
- Ability to communicate professionally and effectively, in writing and in person
- Ability to explain technical procedures/problems to non-technical audiences
- Working knowledge of GSA organization and activities
Preferred skills:
- Knowledge of UCLA graphic identity and information technology guidelines
- Knowledge of copyright and intellectual property issues pertaining to web design
- Familiarity with Mailman listserv system
- Familiarity with Facebook and social networking tools
- Interest or experience in graphic design
- Interest in enriching the graduate student experience and working on issues related to quality of life and quality of education for grad students
- Graduate or professional student with at least two years left at UCLA
One year position, with possibility of renewal, beginning August 1, 2008. $350 per month.

GSA Webmaster Workload Distribution
This provides a more detailed description of the types of requests the webmaster has to handle. As you can see, the bulk of the work falls in fall quarter (and much of it can be started during the summer) and around elections in the spring (and the Elections Board should pay you a bonus for the extra work). Some weeks you'll have practically nothing to do, and others you'll have multiple requests to prioritize and manage.
General
- Check webmaster email account daily and respond to requests in timely fashion
- Consult with GSA officers, cabinet, and staff to explain or improve web services
- Work closely with Director of Communication to maintain unified and professional GSA graphic identity, promote events and initiatives, and raise visibility of GSA
Routine Updates (weekly-monthly)
- Front page news and announcements (RSS feed)
- Council minutes
- Forum agendas and minutes
- Cabinet minutes
- Weekly financial reports from SGA
- Office hours (staff will send beginning of each quarter)
- Events on Web Calendar (cabinet and staff should post most events on their own)
- Events on GSA Events site (events director can be trained to use the CMS)
- RSVP forms for various events (project directors can be trained to do this too)
- Monitor Reservations site, Web Calendar, and Photo Gallery for correct usage
- Miscellaneous inquiries and minor content changes
Troubleshooting and technical support (infrequent)
- Email accounts and passwords
- Listservs
- Advise and assist other groups whose sites are on our server (GSRC, UASRA, AGSA, etc.; if requests seem unreasonable you can decline or request payment)
Late Summer / Fall Quarter
- Review and revise Communication Policy and Web Resource Guide with Director of Communication
- Ensure officers and cabinet have usernames and passwords for email, listservs, calendar, photo gallery, reservations, etc. as appropriate (councils and SIGs also use calendar)
- Review Web Resource Guide with cabinet and conduct training on web tools if necessary
- Update bios and photos for officers and cabinet
- Update officers and admins on Facebook
- Post Forum meeting schedule and archive old schedule and minutes
- Post Cabinet meeting schedule and archive old schedule and minutes
- Update guidelines and applications for Discretionary Funding and Publications
- Post new Council Rosters (note: these must be printed and scanned as image, so the email addresses cannot be harvested; this practice is a pain, consult with IVP whether it’s still necessary)
- Update Non-Stipended and Academic Senate appointment descriptions and post applications
- Post names of Stipended, Non-Stipended, and Academic Senate appointees
Winter Quarter
- Post Elections Board meeting schedule and minutes
- Post Elections guidelines and calls for candidates
- Special projects as requested
Spring Quarter
- Post statements from Election candidates and referendum text
- Assist Director of Elections in setting up electronic ballot (he/she often won’t know HTML or how to use the MyUCLA election administrator)
- Post updated information throughout Elections (minutes, voting instructions, polls open, polls closed, results, etc.)
- Update Stipended Appointment descriptions and post applications
- Update Web Resource Guide and Webmaster binder as necessary
- Deliver end-of-year report to Forum
- Special projects as requested
* N.B. Elections should pay you a small bonus for the extra work that is entailed with Elections.
