Graduate Student Resource Center Meeting Room Reservation and Use Policy
The Graduate Student Resource Center meeting room, located in B11 of the Student Activities Center , is available for use by groups officially affiliated with the Graduate Students Association. The room is available Monday through Friday, 5pm until the close of the building. Special arrangements may be made for weekend meetings. Click this link to view and print the ROOM RESERVATION FORM.
Eligible Groups
The GSRC meeting room may be reserved by the following groups:
- GSRC Oversight Committee and Subcommittees
- GSA Officers and Cabinet
- Active GSA Student Interest Groups
- GSA Councils
Scheduling Procedure
Advance Reservation Requests
Eligible groups may make an advance reservation request for the upcoming quarter. Groups may request individual dates, or a standing weekly reservation. Advance reservation requests may be submitted during the 9 th and 10 th week of the preceding quarter. Fall quarter reservation requests may be submitted after September 1 st and no later than the Friday before 0 week. Reservation requests should be submitted to the GSRC Coordinator at gsrc@saonet.ucla.edu. Groups will be notified about their reservation by the last day of finals week.
In the event of conflicting requests, groups will be notified and offered alternative times. If two groups request standing reservations on the same evening, the reservations will be scheduled at 5pm-7pm and 7pm-9pm , or groups will be given alternating weeks. The Coordinator will make this determination in consultation with the requesting groups.
Other Reservation Requests
All reservation requests submitted by eligible groups after the deadline will be considered on a first come, first served basis.
Guidelines for Groups with Standing Reservations
- Groups with a standing weekly reservation may be moved to a nearby conference room in the Student Activities Center , provided they are given two weeks notice by the GSRC Coordinator.
- No group will be moved more than twice in one quarter. If a group is planning a special event and would be greatly inconvenienced by moving to a nearby conference room, they should inform the GSRC coordinator in advance.
- If a group with a standing weekly reservation will NOT be using the meeting during the time it is reserved, they must notify the GSRC coordinator at least one week prior to the date of the reservation
Meeting Room Use
- The Meeting Room must be returned to the condition it was in prior to the meeting or event.
- If the room is locked, a key can be checked out from the LGBT Center in B36 Student Activities Center. The key must be returned immediately after the door is open. If the key cannot be returned immediately it should be left in the upper top drawer of the GSRC main office desk.
- Items may not be stored in the refrigerator, except on the day of the meeting or event.
- Please do not use GSRC supplies, or take food and beverages from the refrigerator unless they are the property of your group.
- Audio Visual needs are the responsibility of the requesting group.
- Failure to comply with all policies and procedures regarding space will result in the loss of advance reservation privileges for the following quarter .
Meeting Room Policy Review
This policy will be reviewed annually by the GSRC Oversight Committee , or as changing usage patterns require .
