Lead Organizer Positions

We'll also need many panelists and helpers on the day of the event--to volunteer fill out this form in PDF or Word DOC and email to orientation@gsa.asucla.ucla.edu.

Assistant Coordinator of Graduate Student Orientation
* NEW POSITION * - stipend of $1300 - interviews in spring/summer 2008
- Must be available throughout summer months and end of September (for weekly coordination and bi-weekly committee meetings)
- Be interested in orientation coordinator position for 2009 (and possibly future years)
- Provide support to Orientation Coordinator and Director of GSRC with regard to overall event organization and preparation
- Assume responsibility for one major area of event logistics (e.g., resource fair recruitment/set-up, panel recruitment/set-up)
- Attend meetings with key contributors and sponsors for event (e.g., ASUCLA, Graduate Division, UCLA Recreation)
- Collaborate with Orientation Coordinator and Director of GRSC on development/revision of orientation event manual
- Must be available all day on event day
Lead Organizer Positions (non-stipended)
Resource Fair:
- Spring/Summer
- Recruit graduate student groups via email, councils, etc.
- Ensure registration of graduate student groups via orientation website
- Maintain up-to-date contact information for all groups registered for event
- Coordinate volunteers for resource fair set-up on event day
- Work with ASUCLA staff on logistics of venue set-up (Ackerman Grand Ballroom)
- Must be available all day on event day
Keys to Success panels:
- Summer
- Recruit moderators for panels via email, councils, etc.
- Assist moderators with recruitment of panelists
- Review and revise panel format and questions
- Coordinate with venue organizers on venue set-up
- Must be available all day on event day
Families and Parents panel:
- Summer
- Recruit panelists via email, councils, etc.
- Contact possible staff participants
- Review and revise panel format and questions
- Coordinate with venue organizers on venue set-up
- Must be available for session on event day
Living in LA panel:
- Summer
- Recruit panelists via email, councils, etc.
- Review and revise panel format and questions
- Coordinate with venue organizers on venue set-up
- Must be available for session on event day
Students of Color panel:
- Summer
- Recruit panelists via email, councils, etc.
- Review and revise panel format and questions
- Coordinate with venue organizers on venue set-up
- Must be available for session on event day
Tours:
- Summer
- Recruit tour guides via email, councils, etc.
- Review and revise tour guidelines and materials
- Set up schedule for tour walk-through in weeks prior to event
- Set up schedule for campus tours on event day and during week following event
- Must be available all day on event day
Signage:
- Summer
- Review existing signage for accuracy and damage
- Determine whether existing signage needs repair, replacement, and/or revision
- Work with ASUCLA staff on signage logistics
- Coordinate volunteers for placement and retrieval of all signage at beginning and end of event day
- Must be available all day on event day
Packets:
- Bulk of responsibilities 1.5-2 weeks prior to event
- Create table of contents for all materials received by campus entities and student groups
- Ensure that all materials have sufficient copies for expected packets
- Coordinate volunteers and set up schedule for packet stuffing during week of event
- Must be available for several hours per day for 1.5-2 weeks prior to event
A/V-Technical (Team of 2):
- Bulk of responsibilities on event day
- Ensure that all venues are set up with appropriate A/V-technical equipment from ASUCLA, OID, and GSRC
- Ensure that all equipment and network connections are functional
- Troubleshoot A/V and technical issues throughout event day
- Must be available all day on event day
Venues (Team of 2):
- Bulk of responsibilities on event day
- Ensure that all evaluation packets are prepared appropriately and delivered to all venues prior to panel/workshop presentations
- Ensure that all venues are set up appropriately for panel/workshop presentations
- Ensure that all signs are appropriately placed and removed around venues
- Coordinate volunteers for distribution and collection of evaluations
- Ensure that all evaluation packets are returned to GSRC upon completion of panel/workshop presentations
- Must be available all day on event day
Registration (Team of 2):
- Bulk of responsibilities on event day
- Coordinate volunteers for check-in and late registration throughout morning of event
- Ensure that all pre-registered students receive packets and lunch tickets
- Ensure that all late-registered students receive packets and information on lunch policies
- Ensure that additional packets are delivered to locations serving as general information points (i.e., resource fair table, tour table)
- Must be available all day on event day
Lunch (Team of 2):
- Bulk of responsibilities on event day
- Coordinate volunteers for lunch distribution to students and volunteers on event day
- Work with ASUCLA staff on logistics of venue set-up (Kerckhoff Patio and AU 2410)
- Work with volunteers and ASUCLA staff on how to direct traffic and collect lunch tickets (for pre-registered and late-registered students)
- Distribute lunch vouchers to students with special dietary needs
- Monitor lunch process and troubleshoot issues as needed
- Must available mid-day on event day
